Data Retention Policy

The normal retention and deletion schedule for ShootGrid account, gallery, Photo Pass, commerce, log, and backup data.

Retention principles

ShootGrid keeps information only as long as reasonably needed to provide the service, protect users, restore failures, meet financial and legal duties, and resolve disputes. A legal hold, fraud investigation, charge dispute, or valid preservation request may extend a period below.

Cancellation timeline

  1. Paid period: all subscribed features continue until the current billing period ends.
  2. Seven-day grace: published galleries remain available briefly so an accidental billing issue can be corrected.
  3. 90-day recovery: galleries and hosted features are suspended, but resubscribing can restore the files.
  4. Operational deletion: the service removes gallery objects and related active records.
  5. Backup expiration: isolated recovery and encrypted backup copies become unavailable as their automatic retention windows expire, no later than 35 additional days.

Deletion requests

Account owners may request deletion through the portal or by emailingsupport@shootgrid.com. A photographer or studio is normally responsible for client-gallery requests. ShootGrid may verify identity and will explain if a record must be retained for billing, security, dispute, or legal reasons. Deletion from active systems does not instantly rewrite an immutable backup; the backup ages out on the schedule above and is used only for disaster recovery.
