Privacy Policy

How ShootGrid collects, uses, shares, protects, and deletes personal information.

1. Who we are

ShootGrid is operated by Michael Sloop Films, doing business as ShootGrid (“ShootGrid,” “we,” “us,” or “our”). This policy applies to shootgrid.com, the ShootGrid account portal, Photo Pass signup, hosted galleries, desktop and mobile applications, and related support.

For account and billing information, ShootGrid generally acts as the business responsible for that information. For client photographs and client contact details uploaded by a photographer or studio, ShootGrid generally processes the information for that photographer or studio under their instructions.

2. Information we collect

  • Account information: name, email address, organization, login and security information, and account preferences.
  • Subscription and transaction information: plan, billing status, invoices, tax information, refunds, and payment identifiers. Payment-card details are handled by our payment processor and are not stored in full by ShootGrid.
  • Photography workflow content: photographs, gallery titles and passwords, filenames, capture and delivery information, favorites, crop selections, print orders, and related metadata.
  • Photo Pass information: a client’s name, email address, mobile number, optional note, consent choices, QR/pass identifiers, and signup time.
  • Communications: support messages and transactional email or text delivery records.
  • Technical information: IP address, device and browser information, application version, diagnostic logs, security events, usage, queue, and service-health data.

3. How we use information

We use information to:

  • create and secure accounts, verify subscriptions, and provide licensed software;
  • associate photographs with the correct client, create private galleries, and deliver gallery links;
  • process subscriptions, taxes, print purchases, refunds, and customer support;
  • send service, security, billing, and transactional gallery messages;
  • prevent fraud, abuse, piracy, unauthorized access, and service disruption;
  • monitor, troubleshoot, back up, restore, and improve ShootGrid; and
  • comply with law, enforce our terms, and protect users and the public.

We do not use Photo Pass phone numbers for marketing without separate permission.

4. How information is shared

We share information only as needed with the photographer or studio responsible for a session; vendors that provide hosting, storage, authentication, email, text messaging, payment, tax, fraud-prevention, backup, and support services; professional advisers; and authorities or other parties when required by law or necessary to protect rights and safety. Vendors may use information only to provide their contracted services to us.

If ShootGrid or its business is reorganized, acquired, or sold, information may transfer as part of that transaction subject to applicable law and continued protection.

5. Photographer and studio responsibilities

Photographers and studios decide whose photographs and contact information they collect and how they use them. They must provide any required notices, obtain appropriate permissions, protect gallery access, honor client requests, and follow laws that apply to photography, minors, schools, biometric or sensitive information, email, and text messaging. 6. Retention and deletion

Retention depends on the type of information and account status. Hosted galleries remain available through the paid subscription period, receive a seven-day grace period after suspension, and are retained for recovery for 90 days before operational deletion. Isolated recovery copies and encrypted backups automatically age out within no more than 35 additional days. Details are in our Data Retention Policy.

7. Your choices and rights

You may update account information in the portal, cancel a subscription, request account deletion, or contact us to request access, correction, export, or deletion. Depending on where you live, you may have additional rights to know, correct, delete, restrict, or obtain a copy of personal information and to appeal a denied request. We may need to verify your identity and may retain information when legally required.

A photography client should normally contact the photographer or studio first because that business controls the session and gallery. The client may also contact ShootGrid for help. Replying STOP to a supported text-message sender opts that number out as described in the message.

8. Security and international processing

We use access controls, encryption, signed entitlements, rate limits, monitoring, verified backups, and recovery testing intended to protect information. No online system can promise absolute security. Information may be processed in the United States and other locations where our service providers operate, subject to appropriate safeguards and applicable law.

9. Children

ShootGrid accounts are for adults and businesses and are not intended for children under 13. A photographer may photograph a minor only with the authority and permissions required for that session. A parent, guardian, school, league, or other authorized organizer should complete or approve a Photo Pass when required. If you believe a child’s information was collected without appropriate permission, contact us promptly.

10. Contact and updates

Email privacy questions or requests to support@shootgrid.com. We may update this policy as ShootGrid changes. Material changes will be posted here and, when appropriate, communicated through the service.
